  • create and maintain database of prospective and confirmed attendees
  • construct and produce all print materials, such as: announcement letters, invitations, welcome packets, name badges, business agendas, meeting binders, directional signage
  • negotiate all facets of food & beverage, decor, seating, entertainment
  • provide in-depth, detailed program specifications to all appropriate vendors
  • determine meal selections
  • coordinate off-site group meals, activities and transportation
  • interface with audio-visual vendor to secure appropriate equipment and personnel; negotiate favorable rates
  • manage room block and coordinate proper billing arrangements
  • create and maintain rooming lists, arrival & departure manifests, and other lists necessary for successful operation of program; maintain log of all items shipped to meeting site
